What is the AI Receptionist?

The AI Receptionist is a voice-powered assistant that answers your practice's phone calls automatically. When patients call in, they are greeted by a natural-sounding AI voice that can handle common requests without putting anyone on hold or sending them to voicemail.

It is designed to supplement your front desk team--not replace them. The AI handles routine calls so your staff can focus on the patients who are standing right in front of them.

What Can It Do?

The AI Receptionist can currently handle three categories of calls:

Answer common questions. Patients frequently call with straightforward questions about office hours, accepted insurance plans, directions, and appointment preparation. The AI Receptionist answers these instantly using information you provide during setup.

Schedule appointments. The AI can check your practice's availability and book appointments directly into your schedule. It confirms the patient's name, preferred time, and reason for the visit before finalizing.

Take messages. When a request falls outside what the AI can handle--or when a patient specifically asks to speak with someone--it takes a detailed message and routes it to the appropriate staff member. Messages appear in your Doctora dashboard so nothing gets lost.

What It Does Not Do

The AI Receptionist does not provide medical advice, access patient health records, or handle emergencies. If a caller describes an urgent situation, the system directs them to call 911 or go to the nearest emergency room.

How Calls Are Handled

When a call comes in, the AI Receptionist picks up within a few rings. It introduces itself, asks how it can help, and guides the conversation naturally. If the caller wants to be transferred to a staff member, it can do that too.

After each call, a summary is logged in your Doctora dashboard with the caller's request, any action taken, and a transcript of the conversation.
